Customer Onboarding Discovery Questionnaire

What it is
The Discovery Questionnaire is a structured intake form for onboarding a new customer. You record what you know about their environment across fourteen sections, then let Chorum read the answers and turn them into real records: contacts, vault entries, assets and company details. Nothing is written to the customer until you review and confirm it, and everything is scoped to the one customer you are onboarding, so there is no risk of details landing on the wrong account.
Where to find it
Open Helpdesk, Settings, Customers and services and choose Onboarding questionnaire, or go straight to Helpdesk, Onboarding and open the discovery questionnaire from there. Pick the customer at the top to scope the questionnaire to them. The locked banner confirms which customer everything is being saved against.
Filling it in
- Work through the sections, which cover business context, users and licensing, devices, identity, email, DNS and domains, data, applications, network, security and insurance, backup, migration, access and support.
- Each section can be collapsed, and its header shows how many of its questions are answered, so you can see progress at a glance and come back to gaps later.
- Where a section invites it, upload documents such as an asset list or a device inventory, which are stored against the same customer.
- Click Save questionnaire to store your answers. Saving only records the answers. It does not create any contacts, vault entries or assets on its own.
Analysing with AI
When you are ready, click Analyse with AI. Chorum reads the saved answers and extracts structured records, each with a confidence score. The analysis is deliberately careful with AI credits: it runs only when you ask, makes a single extraction on a lightweight model, and caches the result so reopening the page reuses it. Click Re-analyse with AI to run a fresh pass after you have added more answers.
The results are grouped by where they will go:
- Contacts: the people named in the answers.
- Credentials and mailboxes: registrar and portal logins, and shared or role mailboxes such as support or hello addresses. These go to the Vault.
- Devices, software and domains: workstations and endpoints, licensed products with their seat counts, and DNS domains. These go to Assets and the CMDB, and each domain gets a domain record for SSL monitoring.
- Company details: address, website, VAT number, employee count and a short summary of sites, remote split and migration context, which patch the customer's company record.
Confirming and adding
Nothing is written until you confirm it. Each extracted item has a tick box, pre-ticked when the AI is confident, so you can uncheck anything you do not want. When you are happy, click Add confirmed item(s). Chorum then creates the confirmed records against the customer and reports what it added, along with a note about anything that needs your attention.
Good to know
- Save and Add are different steps. Save stores the answers. Add is what pushes the confirmed records into Contacts, the Vault, Assets and the company.
- No secrets are captured. Credentials and mailboxes are created as Vault placeholders with a note to set the real secret on import, never an actual password.
- People without an email are still captured. A contact named without an email address is created anyway and flagged so you can add their email to their record.
- Everything stays with the customer. Every record is scoped to the customer being onboarded, so details never bleed across accounts.
